Outlook Email - Checking Folder and Message Sizes

By default all Exchange Mailboxes at UEL are set to stop receiving messages if the total mailbox size exceeds 50Mb and to prevent mail being sent if the total size exceeds 60Mb. A warning message is sent overnight if the size exceeds 45Mb.

To check the size of your mailbox and individual folders using the Outlook mail browser, follow steps 1 to 4. To check the sizes of individual messages follow steps 5 to 8.


1. Run Outlook
2. Right click the top level of the mailbox
(e.g. 'Outlook Today - [Mailbox - Network Admin]')
and select 'Properties for "Outlook Today"...' from the menu that appears.
3. Click the button on the window displayed.
4. You should now see a window displaying the total size of the mailbox and a scrollable window listing the size of each folder within that mailbox.


To check the size of individual messages within a folder.

5. Select the folder (e.g. Inbox ) containing the messages you want to check. Now select 'View' - 'Current View' - 'Customize Current View...' from the top Outlook Menu.
6. Click the button on the 'View Summary' window.
7. You should now have a window listing the 'Available Fields' on the left and 'Show these fields in this order' on the right. Simply select the fields you want (e.g. Size) on the left side and click the button to include them in the fields displayed (the list on the right side). Use the [ Move Up ] and [Move Down] buttons to change the order in which they will appear.
8. Click the button to close the 'Show Fields' window and then click again to close the 'View Summary' window.

You should now see an extra column in your list of messages which shows the size of each message. Figures in this column may be in Bytes, KiloBytes (1000 bytes) or MegaBytes (1000 KB). For plain text messages each byte will be one character, for html or richtext messages there will also be a lot of extra bytes which control the appearance of the message. Attachments will also take up a lot of space, but do not forget that you can delete attachments from messages and still keep the message itself (Obviously you should only do this after extracting the attachment and saving a copy elsewhere).

Click the top of the column to sort messages by size.

Unfortunately there does not appear to be any way to set this by default on all folders so you will have to go through this process for each folder that you want to check. However, the settings should be remembered once they have been set.
